Junior Project Assistant - Innovate4DigiJOBS Program

Contract Duration: 10 months
Reports to: Project Manager

Program Background

The Innovate4DigiJOBS program is designed to support selected institutions in implementing innovative and impactful digital solutions. As the program transitions into its implementation phase, there is a critical need for dedicated project support to ensure seamless coordination, timely execution, comprehensive documentation, and effective monitoring of both programmatic activities and financial compliance.

To enhance project delivery and ensure successful outcomes, we are recruiting a Junior Project Assistant to provide essential support to the Project Manager across all dimensions of implementation, documentation, compliance, and reporting.

Key Responsibilities

A. Project Implementation Support

  • Provide day-to-day assistance to the Project Manager in executing project activities and maintaining operational momentum
  • Maintain consistent communication and follow-up with beneficiary institutions to monitor progress across all implementation phases
  • Ensure participating institutions comply with established project timelines, deliverables, and reporting obligations
  • Coordinate and support field visits, check-in meetings, stakeholder engagements, and follow-up communications

B. Documentation and Reporting

  • Track, organize, and verify all supporting documentation submitted by participating institutions
  • Monitor and follow up on expenditure reports, cashbooks, receipts, and financial documentation to ensure compliance with program requirements
  • Ensure institutions submit accurate, complete, and timely reports in accordance with established deadlines
  • Support the preparation of progress summaries, documentation packages, and institutional reports

C. Monitoring & Evaluation Support

  • Support data collection activities for project dashboards, field reports, and monitoring frameworks
  • Participate in field visits to observe project implementation and gather monitoring and evaluation data
  • Document outcomes, challenges, lessons learned, and observations during monitoring exercises
  • Contribute to the development of M&E tools and data quality assurance processes

D. Communication & Stakeholder Engagement

  • Assist in the preparation of communication materials, stakeholder updates, and program summaries
  • Follow up with institutions to gather updates, success stories, and activity highlights for communication purposes
  • Support social media coordination by ensuring institutions adhere to program communication guidelines and properly tag partner accounts
  • Facilitate information flow between project stakeholders and the project management team

Required Competencies & Skills

Essential Qualifications

  • Strong written and verbal communication skills with the ability to engage diverse stakeholders
  • Basic understanding of financial documentation processes, including cashbooks, receipts, and expenditure reporting
  • Familiarity with data collection methodologies and monitoring and evaluation principles
  • Exceptional attention to detail and strong documentation capabilities
  • Ability to work both independently and collaboratively within a team environment
  • Proficiency in Microsoft Office Suite and project management tools

Added Value

  • Accounting or finance knowledge and experience
  • Prior experience working with NGOs, Technical and Vocational Education and Training (TVET) institutions, or Economic Support Organizations (ESOs)
  • Understanding of donor-funded project requirements and compliance standards

Qualifications

Educational Background

Diploma or Bachelor's degree in Project Management, Business Administration, Accounting, Finance, Development Studies, Information and Communication Technology, or related fields

Professional Experience

  • 1–2 years of relevant experience in project support, program administration, or monitoring roles (preferred)
  • Experience working with donor-funded programs or institutional capacity-building initiatives is an advantage
  • Demonstrated ability to manage multiple tasks and meet deadlines in a dynamic environment
