Established to strengthen healthcare research, education, and patient support in Rwanda, KFHRF plays a critical role in advancing medical research, promoting innovation, supporting vulnerable patients, and improving emergency healthcare services across the country.

Position Details

  • Job Title: Clinical Data Collector

  • Location: Assigned Sentinel Hospital (South, North, East, or West Province)
  • Reporting To: Designated Cluster Mentor
  • Employment Type: Full-Time, Fixed-Term
  • Number of Positions: 48
  • Contract Duration: September 2026 – April 2028

About the Role

The Clinical Data Collector will support the implementation of the ACTxBEC Programme by collecting, managing, and maintaining high-quality emergency care data using the WHO Integrated Data Platform (WIDP).

Successful candidates will collaborate with healthcare professionals, Cluster Mentors, Facility Champions, and hospital administrators to ensure accurate, complete, and confidential patient-level data collection while strictly adhering to study protocols and ethical standards.

Key Responsibilities

Patient Screening and Registration

  • Screen emergency patients according to approved study eligibility criteria.
  • Identify eligible patients with sentinel conditions.
  • Register participants using the WHO Integrated Data Platform (WIDP).
  • Generate and maintain unique study identification numbers.

Clinical Data Collection

  • Collect patient information from admission through emergency department disposition.
  • Follow admitted patients daily until discharge.
  • Gather follow-up information from:
  • Inpatient wards
  • Intensive Care Units (ICU)
  • Operating theatres
  • Maternity and obstetric units
  • Ensure all patient records remain complete and accurate.

Data Quality Assurance

  • Validate collected information before and after synchronization.
  • Resolve data inconsistencies and validation alerts.
  • Correct incomplete records according to project procedures.
  • Participate in weekly data quality review meetings.
  • Maintain high standards of data accuracy and completeness.

Patient Confidentiality

  • Protect confidential patient information.
  • Maintain secure linkage logs between hospital identifiers and study IDs.
  • Ensure restricted access to participant records.
  • Comply with institutional data protection policies.

Electronic Data Collection

  • Use Android tablets for electronic data collection.
  • Safeguard assigned equipment.
  • Synchronize collected data whenever internet connectivity is available.
  • Verify successful uploads.
  • Report technical issues promptly.

Technical Support

  • Support Facility Champions and healthcare workers using WHO Academy and Sustainable Simulation and Skills (S3) platforms.
  • Assist with:
  • User account creation
  • Login support
  • Password management
  • Multi-factor authentication (MFA)
  • Troubleshoot Android devices and electronic systems.

Monitoring and Reporting

  • Attend weekly project meetings.
  • Prepare routine reports on patient screening and enrolment.
  • Report operational challenges affecting data collection.
  • Ensure continuous daily hospital coverage.

Professional Conduct

Candidates must:

  • Follow all Standard Operating Procedures (SOPs).
  • Maintain neutrality during patient care.
  • Never interfere with clinical decision-making.
  • Never provide diagnoses or clinical treatment.
  • Perform additional duties assigned by project management.

Required Qualifications

Applicants should have:

At least 2 years of experience in:

  • Clinical data collection
  • Health information systems
  • Public health
  • Epidemiology
  • Monitoring and Evaluation
  • Research data collection
  • Nursing
  • Clinical care
  • Or a related healthcare field
  • Experience using electronic data collection systems.
  • Strong understanding of patient confidentiality and ethical handling of health information.
  • Ability to work effectively in busy clinical environments.
  • Excellent attention to detail.
  • Fluency in English and Kinyarwanda.
  • Availability to work full-time (40 hours per week), including alternate weekends and occasional after-hours follow-up.

Preferred Qualifications

Preference will be given to candidates with a Bachelor's degree in:

  • Health Informatics
  • Biostatistics
  • Epidemiology
  • Nursing
  • Public Health
  • Or another related discipline.

Experience with any of the following systems is an added advantage:

  • WHO Integrated Data Platform (WIDP)
  • DHIS2 Tracker
  • REDCap
  • ODK
  • KoboToolbox
  • CommCare
  • Electronic Medical Records (EMR)

Previous experience in emergency care, disease surveillance, health registries, or multi-site health programmes is also desirable.
