About the Role

This is a high-trust, high-impact role sitting directly beside the CEO. The Executive & Administrative Assistant ensures the CEO's office runs with precision managing schedules, correspondence, and communications while also helping interpret financial and operational reports to support executive decision-making. This is not a passive administrative role. It requires analytical thinking, discretion, and the ability to anticipate what the CEO needs before being asked.

Key Responsibilities

  • Maintain the CEO's calendar, appointments, and travel arrangements
  • Draft emails, reports, and presentations that summarize key financial and operational information clearly
  • Conduct pre-analysis and research to support CEO decisions  including reviewing accounting, audit, and operational reports for insights
  • Coordinate internal and external communications and stakeholder correspondence
  • Organize and follow up on meetings, ensuring action items  especially financial and operational ones  are tracked and closed
  • Support office logistics, filing systems, and documentation management

Qualifications

  • Bachelor's degree in Business Administration, Management, Accounting, Finance, or a related field

2. Head of Legal & Company Secretary — 1 Position

About the Role

This is one of Ecofleet's most senior and consequential roles a governance and legal leadership position that ensures the entire organization operates within a robust, compliant, and ethically grounded legal framework. The Head of Legal & Company Secretary advises the Board and C-suite on all legal matters, oversees statutory compliance, manages institutional risk, and serves as the official Secretary to the Board of Directors.

Key Responsibilities

  • Serve as Secretary to the Board and all Board Committees, managing governance procedures, filings, and records
  • Provide strategic legal counsel to the CEO and executive team across all areas of business
  • Lead legal due diligence on strategic partnerships, investments, and public-private engagements
  • Oversee regulatory compliance across licensing, ESG, data privacy, and transport regulations
  • Manage the full contract lifecycle from drafting and negotiation through to execution and renewal
  • Lead legal risk assessments and advise on the legal implications of major business decisions

3. Chief Digital & Experience Officer (CDXO) — 1 Position

The CDXO is Ecofleet's technology visionary, the executive responsible for leading the company's entire digital transformation agenda.   • Lead the development and execution of Ecofleet's digital transformation roadmap
  • Oversee integration of systems across payment vendors, operational platforms, and business tools
  • Ensure secure, reliable, and scalable enterprise infrastructure at all times

About the Role

This is a cross-cutting role that serves the entire Ecofleet executive team. The Projects, M&E Officer ensures that all major organizational initiatives are properly planned, tracked, and reported  and that leadership always has the accurate, timely performance data they need to make sound decisions. While the role reports administratively to the CSEO, its mandate spans the portfolios of the CEO, COO, CFO, and CDXO.

Key Responsibilities

  • Develop and maintain project plans, schedules, risk registers, and implementation dashboards for all major initiatives
  • Track progress across priority projects under all executive portfolios simultaneously
  • Collect, validate, and analyze performance data from operations, finance, digital systems, and sustainability programs
  • Produce weekly, monthly, and quarterly M&E reports for executive review
  • Coordinate project meetings, prepare minutes, and follow up on decisions and action items
  • Conduct field verification visits at depots, terminals, charging sites, and operational locations
  • Support evaluation of pilot programs including e-buses, digital payment platforms, and charging infrastructure

Qualifications

  • Lead and manage all daily control room operations to ensure safe and reliable public transport services across Kigali
  • Supervise control room operators through both routine operations and major service disruptions

  • Take incident command during major disruptions, coordinating with drivers, maintenance teams, police, and emergency services

6. Inventory Controller Officer — 1 Position

The Inventory Controller Officer is the guardian of Ecofleet's organizational stock and operational assets. This role ensures that stock records are always accurate, assets are always accounted for, and the organization is always audit-ready. It is a detail-driven, process-critical role that sits at the intersection of finance and operations.

Key Responsibilities

  • Monitor and control stock levels across all operational locations to prevent shortages and excess inventory
  • Maintain accurate records in both inventory management systems and physical registers
  • Conduct regular stock counts, cycle counts, and physical verifications at depots and operational sites
  • Investigate, reconcile, and formally report all stock discrepancies, variances, losses, or damage
  • Coordinate with procurement for timely replenishment and demand planning
  • Ensure full compliance with FIFO/FEFO stock management principles and internal control policies

Working across bus routes, depots, and terminals, the Inspector is the "eyes and ears" on the ground  verifying fares, monitoring driver conduct, inspecting vehicles, and ensuring that every trip meets Ecofleet's service standards. This role requires high integrity, calm under pressure, and genuine attention to detail.

Key Responsibilities

  • Conduct regular spot checks on buses to verify passenger tickets and confirm digital fare payment compliance
  • Identify and formally report fare evasion, ticketing fraud, or unauthorized revenue collection
  • Monitor and report on driver behavior focusing on safety, professionalism, and adherence to traffic laws
  • Document and escalate cases of driver misconduct, unauthorized stops, absenteeism, or route deviation
  • Inspect buses at depots before departure to verify cleanliness, mechanical readiness, and safety feature functionality
  • Track service irregularities such as late departures or premature turnarounds and report them to dispatch
  • Investigate and address passenger complaints relating to service quality or crew conduct

Qualifications

  • Diploma or Degree in Transport Management, Public Administration, Logistics, or a related field
  • 2–3 years of experience in transport operations, law enforcement, security, or inspection roles

With a sharp focus on revenue protection and operational compliance, the Operator monitors GPS data and surveillance systems to detect misconduct, flag fraud, and coordinate field responses  serving as the critical link between the control room and inspectors on the ground.

Key Responsibilities

  • Monitor real-time bus movements using GPS tracking and surveillance tools throughout every shift
  • Detect and flag signs of fare evasion, ticket fraud, or undeclared earnings by drivers
  • Identify suspicious route deviations, prolonged unauthorized stops, or deliberately skipped trips
  • Alert field inspectors to investigate and act on suspected revenue leakage in real time

The Depot Fleet Officer is the operational backbone of Ecofleet's bus depot. This role ensures that every bus is inspected, ready, and dispatched on time every single day coordinating between drivers, mechanics, and depot management to keep Kigali's buses moving safely and on schedule.

Key Responsibilities

  • Monitor daily bus availability and confirm each vehicle's readiness before dispatch
  • Ensure daily inspections are completed for every bus, covering safety, cleanliness, and mechanical condition
  • Report all technical faults immediately and follow up with the maintenance team until resolved
  • Maintain detailed records of bus departures, returns, mileage, fuel usage, and downtime periods
  • Prepare and submit accurate daily fleet availability and performance reports

Key Responsibilities

  • Perform routine and scheduled maintenance on all buses according to maintenance schedules
  • Diagnose and repair mechanical and electrical faults accurately and efficiently
  • Ensure all repairs meet Ecofleet's safety and quality standards before any vehicle returns to service
  • Report worn-out or faulty parts requiring replacement and follow up on procurement
  • Maintain cleanliness and order throughout the workshop at all times
  • Keep accurate records of all repairs and maintenance tasks performed

Qualifications
