The Opportunity: Customer Care cum Accounts Assistant
Location: Kigali, Rwanda
Job Type: Permanent (Full-Time)
Reports To: Finance Manager
Role Overview
This is a unique dual-function role that combines customer service excellence with accounting precision. The successful candidate will serve as a crucial link between our customers and internal operations while supporting essential financial functions. This position requires someone who can seamlessly manage customer relationships while maintaining accurate financial records and ensuring regulatory compliance.
Key Responsibilities
Customer Care Functions:
The customer-facing aspect of this role is vital to maintaining KP Prime Rwanda's reputation for excellence. You will be the voice of our company, handling customer inquiries, complaints, and requests with professionalism and efficiency. Your responsibilities include managing communications through multiple channels phone, email, and in-person interactions while coordinating with sales, warehouse, and finance teams to resolve issues promptly.
Customer satisfaction is paramount, and you'll be responsible for maintaining accurate customer records, following up on outstanding matters, and ensuring that every interaction reflects our commitment to service quality.
Accounts & Finance Functions:
On the financial side, you'll play a critical role in our day-to-day accounting operations. Your responsibilities include preparing and issuing sales invoices using EBM V2 in full compliance with Rwanda Revenue Authority (RRA) regulations this is non-negotiable as compliance is central to our operations.
You'll maintain comprehensive documentation for all sales, receipts, and customer accounts while actively assisting with accounts receivable follow-ups and payment tracking. Your work with QuickBooks Online will be essential for maintaining accurate accounting records, and you'll contribute to month-end closing activities and reconciliations.
The role also involves preparing financial and operational reports using Microsoft Excel, ensuring proper filing and record-keeping for both internal reviews and external audits, and supporting the Finance Manager with various accounting tasks as needed.
Qualifications & Experience
Required Qualifications:
- Education: Bachelor's Degree in Accounting, Finance, Business Administration, or related field
- Experience: Minimum 2 years of relevant experience in customer care and accounting roles
- Technical Skills:
- Practical working knowledge of EBM V2 is mandatory
- Experience with QuickBooks Online is required
- Strong proficiency in Microsoft Excel (formulas, pivot tables, data analysis)
Preferred Qualifications:
- Previous experience working in Rwanda-based companies is an advantage
- Familiarity with the paints and coatings industry
- Experience in dual-function roles combining customer service and finance
