About the Role
We are seeking a professional, organized, and discreet Administrative Assistant to provide high-level support to the Deputy Director General (DDG). This is a key role responsible for ensuring smooth day-to-day operations of the DDG's office through effective communication, scheduling, and administrative coordination.
Key Responsibilities
- Administrative Support: Provide efficient secretarial and administrative services to the DDG, including document preparation, photocopying, scanning, printing, and binding. Manage office supplies and equipment, assist in preparing expense reports, and process invoices for the office.
- Calendar Management: Manage the DDG's calendar by scheduling appointments, meetings, and travel arrangements. Prioritize engagements based on the DDG's availability and strategic objectives to ensure optimal time management.
- Correspondence and Communication: Draft, review, and distribute emails, memos, reports, and other correspondence on behalf of the DDG. Serve as the first point of contact for internal and external stakeholders, screening calls and directing inquiries to the right personnel.
- Document Management and Filing: Maintain organized electronic and physical filing systems for all records and reference materials. Ensure documents are properly archived, easily accessible, and kept confidential at all times.
- Travel Coordination: Handle all domestic and international travel arrangements for the DDG, including flights, accommodation, transport, visa processing, and travel itineraries, ensuring full compliance with organizational travel policies.
- Confidentiality and Discretion: Handle all sensitive and confidential information with the highest level of professionalism and integrity, adhering strictly to organizational policies on data privacy and ethical conduct.
Required Qualifications
- Education: Minimum of a Bachelor's degree in Business Administration, Office Management, Public Administration, Management, International Relations, Public Relations, Law, or a related social science field.
Skills and Competencies
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and scheduling tools
- Strong organizational and time management skills with the ability to multitask and meet deadlines
- Excellent written and verbal communication skills with a professional and approachable manner
- High attention to detail and accuracy in all administrative tasks
- Ability to handle sensitive information with discretion, tact, and diplomacy
- Flexible and proactive approach to work with a strong problem-solving mindset
- Prior experience in a corporate or nonprofit executive support environment is an advantage
- Knowledge of RURA and departmental policies and procedures is an added advantage
